About this privacy policy


CareerSeekers New Australian Internship Program Limited ABN 19 167 509 935 ("CareerSeekers”, “we”, “our” or “us”) is a non-profit social enterprise which partners with employers to create paid, professional internships for refugees and people seeking asylum.


CareerSeekers respects and is committed to protecting, the privacy of individuals whose personal information it collects. This policy details the types of information that we collect, how we collect, why we need the information and to whom we disclose the information.


Collecting information


In order to provide employment /internship opportunities for our participants, we collect, use, hold and disclose personal information of the individuals that we interact with. These individuals include:

  • - applicants to our programs, including successful applicants and those who are not accepted into a program or who later withdraw from a program;

  • - current participants (including interns) and former participants of our programs;

  • - staff and personnel of organizations which are hosting, will host or have hosted interns via CareerSeekers;

  • - staff and personnel of organizations in our prospective employers’ pipeline;

  • - staff and personnel of foundations and other philanthropic supporters, for the purposes of seeking funding and building relationships with prospective donors;

  • - staff and personnel of external consultants and other companies engaged by CareerSeekers, not in the capacity of hosting an intern;

  • - team members of CareerSeekers;

  • - and volunteers who assist CareerSeekers.


Where practical CareerSeekers collects personal information directly from involved persons, in person, on the telephone, via mail, email or online.


In rare circumstances, we also collect limited sensitive information from individuals participating in our programs. Sensitive information is a sub-set of personal information and may include information about your racial or ethnic origin, political opinions, religion, trade union or other professional associations or memberships, philosophical beliefs, sexual orientation or practices, criminal records, health information or biometric information.


We will not collect, use or disclose sensitive information about you, without your consent.

What we collect


The types of information we collect and why we collect it depends on our interaction with you. We may collect a range of personal information for various purposes, including:

  • - name(s);

  • - contact details (e.g. phone numbers, email addresses or postal address);

  • - location(s);

  • - if applicable, sole trader ABNs;

  • - job title;

  • - date of birth;

  • - emergency contact information;

  • - photographs of applicants, current and former participants of the CareerSeekers internship program, and attendees of CareerSeekers events;

  • - current or former refugee visa or travel document, application for asylum, proof of work rights in Australia, digital literacy test, year of arrival and degree details;

  • - CareerSeekers profile document, career goals, proof of enrolment, results/transcripts;

  • - bank details and superannuation details;

  • - dates and terms of employment and termination, remuneration records, attendance, and performance records;

  • - current CV;

  • - IP address and information about your browsing session; and

  • - any other personal information requested by us or provided by you or a third party.


Why do we need your personal information?


CareerSeekers collects, holds, uses and discloses personal information for the following reasons:

  • - Administration: to enable us to operate our programs and events;

  • - Marketing and Stakeholder Engagement: to communicate with you and other stakeholders such as foundations and philanthropic partners, and employment partners, about our initiatives and to promote our initiatives;

  • - Support Services: to coordinate and manage relationships and to provide assistance to individuals and organisations participating in our programs; and

  • - Compliance: to comply with our legal obligations.


How we collect and hold your personal information


We may collect personal information through various means, including:

  • - through direct communication, such as via email, phone, and electronic communications;

  • - when you directly provide personal information to us, such as through an expression of interest, application, query or complaint;

  • - during the course of providing our services to you or on your behalf;

  • - from your engagement on our site or through social media, such as via our LinkedIn and Facebook pages;

  • - while employed or volunteering with us, through your duties and tasks;

  • - through contractual agreements;

  • - through third parties on your behalf; or

  • - publicly available information.


We may hold your personal information in various ways, including in paper and electronic records. As at the last review of this policy, it was noted that we currently hold licences with, among others: Salesforce for customer relationship management (CRM); Google for email, file storage, calendar and cloud services; and Xero for financial managements. We take confidentiality and privacy very seriously at CareerSeekers and take measures as outlined in this Policy to ensure limited access to information.


Disclosing your personal information to third parties


We may disclose your personal information to third parties such as organizations that assist CareerSeekers in providing internships to participants, contractors, our legal or professional advisers and government authorities or agencies. This will only occur where such disclosure is reasonably required or by law.  

We may also disclose your personal information to relevant third parties, including those domiciled abroad. For example, this includes the United States, where the Salesforce servers are held, and New Zealand, where our IT Advisor is located.

We may also share personal stories of internship program applicants and participants and photographs where the person has given their consent or otherwise in accordance with data protection and privacy laws.


By providing your personal information, you consent to the disclosure of your personal information to third parties, as identified above.


Choosing not to provide your personal information


You do not have to provide your personal information to us; however, if you do not, it may impact your ability to engage with us or our services, such as, your ability to seek, or continue to engage in the CareerSeekers internship program, to stay connected with us and other alumni, to become an employment partner to host our interns, or to work with us to deliver our services and programs.


Accessing or correcting your record


CareerSeekers seeks to ensure all personal information collected and stored in its files and database systems is correct and accurate. You may at any time, request to access to, or correction of, the personal information that we hold about you, using the details below. CareerSeekers will endeavour to meet or advise of the outcome of such a request within 5 business days of receipt.


You may be required to provide evidence that you have the right to access the record (such as proof of identification or power of attorney), and an administrative fee may be payable for the provision of such access. In certain circumstances, we may refuse to provide you access to the personal information that we hold or otherwise any such copies provided may be redacted, or records may be referenced to respect the privacy of others.

Complaints


If you are concerned about how we have handled your personal information, you can make a complaint to us directly using the contact details above. We will aim to investigate your complaint within a reasonable period of time, depending on the complexity of your complaint. We will notify you of the outcome of our investigation.
